Privacy Policy

Ceramic, Inc. (“Ceramic,” “Company,” “we,” “us,” or “our”) respects and values your privacy. This Privacy Policy explains our online and offline information practices, the kinds of information we may collect, how we intend to use and share that information, and how you can exercise your privacy rights. This Privacy Policy is incorporated by reference into our Terms of Service. For privacy-related inquiries or to exercise your rights as detailed below, contact us at legal@ceramic.ai.
1. Scope
This Privacy Policy applies to information that we process from or regarding our current, prospective, and former customers, visitors, and business partners, in the course of our business, including: on our website at www.ceramic.ai and related sites (our “Website”); through our AI search infrastructure, hosted platform, training stack, APIs, and related services (the “Platform”); through our forms, applications, and other offerings that link to this Privacy Policy; or by phone, email, or in-person (collectively, the “Services”). This Privacy Policy does not apply to information collected by any third party, including through any application or content that may link to or be accessible from the Services. If you access our Services under a Master Subscription Agreement or similar enterprise agreement, the data handling, retention, and use terms in that agreement supersede any conflicting provisions in this Privacy Policy
2. Personal Information We Collect About You
We collect limited categories of personal information based on your relationship with us. The categories of information identified in this Privacy Policy will be referred to as “personal information.”
- Identifiers and Contact Information: Real name, alias, username, account name, email address, phone number, mailing address, company name, and job title.
- Account Information: Usernames, passwords, and account credentials; account preferences and settings; and billing and payment information (processed by our payment processors).
- Internet and Network Activity: IP address, browser type, device identifiers, operating system and device information, information regarding your interaction with the Services, and access logs, usage behavior, and session data.
- Content: Content of your queries, emails, messages, or other communications you send to us; support tickets and customer service interactions; and feedback and survey responses.
- Geolocation Data: General location derived from IP address or device settings.
- Inferences: Inferences drawn from the above categories to create a profile reflecting your preferences or characteristics.
Personal information does not include publicly available information from government records or de-identified or aggregated information that cannot reasonably be linked to an individual.
3. How We Collect Information
Direct Collection: We collect personal information from our provision of the Services or operation of our business, including:
- Information you provide us directly in connection with the Services, including information you provide us through API interactions and Platform usage, including search queries and API requests, by phone, email, text, in-person, through our Website (including by filling in forms on our Website, or other forms or applications on third party websites and services, if those forms or applications link to this Privacy Policy)
- Information you provide when creating an account or using the Services
- Information provided during onboarding and technical integration with the Services
- Information you provide when contacting us for support or inquiries
- Information you provide when subscribing to our mailing list or newsletters
- Information you provide when applying for employment
Indirect Collection: We collect personal information from third parties when you use the Services, including information we receive from our integration, data source, content or technology partners, and information we receive about you or other users from our network of business partners or third party services.
Automatic Collection: We use certain automatic data collection technologies to gather information about your device, browser, and interactions with our Services, including: information about your computer hardware and software when you visit our Website or use our Services, such as your IP address, browser type, domain names, internet service provider (ISP), files viewed on our Website, operating system, access times, and referring website addresses; information collected in connection with analytics technologies, such as Google Analytics, that permit us to learn more about how visitors use our Services (for more information about how Google Analytics uses and processes data, please visit https://www.google.com/policies/privacy/partners/); and information stored in cookies, pixel tags, log files, or web beacons, including browser type, portions of the Services visited, time spent on the Services, pages visited, referring URLs, links you click on, and other traffic and usage data. You can control the use of cookies on your device at any time by changing your preferences in your browser settings. However, blocking or deleting cookies may limit your ability to use certain features of our Services.
Third Party Use of Cookies and Other Tracking Technologies: Some content or applications related to the Services are served by third parties, including content providers and service providers. These third parties may use cookies, alone or in conjunction with web beacons or other tracking technologies, to collect information about you when you use our Services. We do not control these third parties’ tracking technologies or how they may be used. If you have any questions about an advertisement or other targeted content, you should contact the responsible provider directly.
Do Not Track Signals: Do Not Track (DNT) is an optional browser setting that allows you to express your preferences regarding tracking. We honor Do Not Track signals and do not track, plant cookies or use advertising when a Do Not Track browser mechanism is in place.
4. How We Use Your Information
We use personal information that we collect about you or that you provide to us, to:
- Provide, operate, maintain, test, develop, and improve the Services;
- Authenticate users, manage accounts, and control access;
- Communicate with you about the Services, including notifications about changes;
- Respond to your inquiries and provide customer support;
- Diagnose and fix technological problems;
- Personalize your experience and content;
- Develop new products and services;
- Send promotional communications (with your consent where required);
- Carry out our obligations and enforce our rights under any contracts;
- Protect the rights, property, or safety of Ceramic, our users, or others;
- Comply with legal and regulatory obligations;
- Evaluate or conduct a merger, sale, or other business transaction; and
- For any other purpose with your consent.
5. Disclosure of Your Information
We treat your personal information with care and confidentiality. We may disclose personal information to third parties as follows:
- To contractors, service providers, and other third parties we use to support our business, who are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them
- To our subsidiaries and affiliates for our business purposes
- To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets
- To comply with any court order, law, or legal process, including to respond to any government or regulatory request
- If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of Ceramic, our customers, employees, or others
- To any other third party with your consent
We may also disclose your personal information:
- To comply with any law, court order, or legal process, including to respond to any government or regulatory request (including, without limitation, to our lawyers and tax consultants)
- To enforce or apply our Terms of Service and other agreements
- If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of the Company, our customers, our employees, or others
We do not sell and, in the past twelve (12) months, have not sold personal information.
6. Choices About How We Use and Disclose Your Information
We strive to provide you with choices regarding the personal information you provide to us. We have created mechanisms to provide you with the following control over your information:
Tracking Technologies and Advertising: You can set your browser to refuse all or some browser cookies, or to alert you when cookies are being sent. To learn how you can manage your Flash cookie settings, visit the Flash player settings page on Adobe’s website. If you disable or refuse cookies, please note that some parts of this site may then be inaccessible or not function properly.
Promotional Offers from Ceramic: To opt-out of promotional communications, click “Unsubscribe” in any promotional email or contact us at query@ceramic.ai.
7. California Privacy Rights
If you are a California resident, you may have the following rights (free of charge) under the California Consumer Privacy Act (“CCPA”) and the California Privacy Rights Act (“CPRA”) with respect to your personal information:
- Initial Disclosure: As described above, Ceramic collects various categories of personal information when you use the Services, including identifiers, commercial information, internet or other electronic network or device activity information, geolocation data, and professional information. A detailed description of the categories of personal information we collect and how we use such personal information is provided above in Section 2 (Personal Information We Collect About You), Section 3 (How We Collect Information), and Section 4 (How We Use Your Information). Section 5 (Disclosure of Your Information) describes the categories of third parties with whom we share personal information, the types of information shared, and the purposes for such disclosures.
- Disclosure of Personal Information We Collect About You: You have the right to request we disclose to you free of charge the following information covering the 12 months preceding your request:
- The categories of personal information we have collected about you
- The categories of sources from which the personal information is collected
- Our business or commercial purpose for collecting or selling personal information
- The categories of third parties with whom we share personal information, if any
- The specific pieces of personal information we have collected about you
- Disclosure of Personal Information Sold or Used for a Business Purpose: In connection with any personal information we may sell or disclose to a third party for a business purpose, you have the right to know: the categories of personal information about you that we sold and the categories of third parties to whom the personal information was sold; and the categories of personal information that we disclosed about you for a business purpose.
- Opt-Out: You have the right under the CCPA and certain other privacy and data protection laws, as applicable, to opt-out of the sale of your personal information. To opt-out of the sale of your personal information, contact us at legal@ceramic.ai. Note that we do not currently sell personal information.
- Correct Inaccurate Personal Information: You have the right to correct incomplete or inaccurate personal information.
- Deletion: Subject to certain exceptions set out below, on receipt of a verifiable request from you, you have the right to request that we: delete your personal information from our records; and direct any service providers to delete your personal information from their records. Please note that we may not delete your personal information if it is necessary to: complete the transaction for which the personal information was collected, fulfill the terms of a written warranty or product recall conducted in accordance with federal law, provide a good or service requested by you, or reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform a contract between you and us; detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, or prosecute those responsible for that activity; debug to identify and repair errors that impair existing intended functionality; exercise free speech, ensure the right of another consumer to exercise his or her right of free speech, or exercise another right provided for by law; comply with the California Electronic Communications Privacy Act; engage in public or peer-reviewed scientific, historical, or statistical research in the public interest that adheres to all other applicable ethics and privacy laws, when our deletion of the information is likely to render impossible or seriously impair the achievement of such research, provided we have obtained your informed consent; enable solely internal uses that are reasonably aligned with your expectations based on your relationship with us; comply with an existing legal obligation; or otherwise use your personal information, internally, in a lawful manner that is compatible with the context in which you provided the information.
- Limit Sensitive Personal Information: You have the right under the CPRA to request that we limit the use of your sensitive personal information to only that which is necessary for providing products or services to consumers. Under the CPRA, the “Sensitive Data” categories include: Social Security numbers (SSNs); driver’s license; financial account or card numbers; precise geolocation; racial and ethnic characteristics; religious and philosophical beliefs; union membership; contents of mail, email, and text messages; and genetic and biometric data.
- Protection Against Discrimination: You have the right to not be discriminated against by us because you exercised any of your rights under the CCPA. This means we cannot, among other things: deny goods or services to you; charge different prices or rates for goods or services, including through the use of discounts or other benefits or imposing penalties; provide a different level or quality of goods or services to you; or suggest that you will receive a different price or rate for goods or services or a different level or quality of goods or services.
Please note that we are not required to: retain any personal information about you that was collected for a single one-time transaction if, in the ordinary course of business, that information about you is not retained; reidentify or otherwise link any data that, in the ordinary course of business, is not maintained in a manner that would be considered personal information; or provide the personal information to you more than twice in a 12-month period.
We may charge a different price or rate or provide a different level or quality of services to you, if that difference is reasonably related to the value provided to our business by your personal information.
We will work to process all verified requests within 45 days. If we need an extension for up to an additional 45 days in order to process your request, we will provide you with an explanation for the delay. 9. Additional U.S. Privacy Rights
If you are a resident of Virginia, Colorado, Connecticut, Utah, Texas, or other states with comprehensive privacy laws, you may have the following rights under applicable state law:
- Request confirmation that we are processing your personal information.
- Request access to a copy of your personal information in a portable and readily-usable format.
- Request that we correct your personal information at any time.
- Request that we delete your personal information, unless an exception applies. If we delete your personal information, we might not be able to provide you with the Services.
- Request to opt-out of targeted advertising (Note that we do not currently engage in targeted advertising).
- Request that we not sell or share your personal information to third parties (Note that we do not currently sell or share personal information).
- Be free from discrimination related to your exercise of any of your state privacy rights.

10. Additional Rights for Individuals Located in the EEA, Switzerland, or the UK
If you are located in the EEA, Switzerland, or the UK, we process your personal information based on the following legal bases:
- Contract performance (for customer relationships)
- Legitimate interests (for business operations and website analytics)
- Legal compliance (for regulatory obligations)
- Consent (where specifically obtained)
You have the following rights:
- Access - request access to your personal information
- Correction - request correction of inaccurate personal information
- Erasure - request deletion of your personal information
- Portability - request to receive your personal information in a portable format or transfer it to another controller
- Object - request to object to processing of your personal information
- Restriction - request to restrict processing of your personal information
- Consent withdrawal - withdraw consent where processing is based on consent
You may exercise these rights by contacting us at legal@ceramic.ai. Individuals located in the EEA, Switzerland, or UK may also have the right to lodge a complaint with a supervisory authority.
10. International Data Transfers
Ceramic is based in the United States. If you are accessing the Services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States and other countries where our servers are located or our service providers operate. If we transfer your personal information outside the EEA, Switzerland, or UK, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the European Commission, the UK International Data Transfer Addendum, and other legally recognized transfer mechanisms.
11. Exercising Your Data Rights
We are legally obligated to verify your identity when you submit a privacy rights request. We may request additional information from you to verify your identity. If we are unable to confirm your identity, we may refuse your rights request. You may use an authorized agent to submit a privacy rights request on your behalf. If you do so, the authorized agent must present signed written authorization to act on your behalf, and you will also be required to independently verify your own identity directly with us. This verification process is not necessary if your authorized agent provides documentation showing power of attorney. We will work to process all verified privacy rights requests as quickly as possible. For California residents (CCPA/CPRA), we will respond within 45 calendar days of receiving a verifiable request. If necessary, we may extend the deadline once for an additional 45 days and will notify you with an explanation. For European Union residents (GDPR), we will respond within 1 month of receiving a valid request. If necessary, we may extend the deadline by up to 2 additional months and will inform you of the reasons for the delay within the first month. 12. Data Security
We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure, including but not limited to the following:
- Access to the Company’s IT systems is monitored in order to detect and prevent misuse.
- All personal information is secured on cloud-based infrastructure in a controlled, secure environment, protected from unauthorized access, use or disclosure, using appropriate physical, technical and organizational measures.
- All personal information in production environments is encrypted at rest.
- The Company’s security measures are continuously tested, assessed, and reviewed to ensure ongoing confidentiality, integrity, availability, and resilience of processing systems and services in connection with the processing, as well as the effectiveness of the technical and organizational measures for ensuring the security of the processing.
Notwithstanding the foregoing measures, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted through the Services. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained in or on the Services.
13. Data Retention
We retain personal information to achieve the purposes for which the information was collected. We will delete personal information when we no longer need it for the purposes for which it was collected. In certain cases, we may need to retain personal information for purposes required under applicable law, for tax or audit purposes, or for other lawful purposes.
14. Individuals Under the Age of 18
The Services are not intended for and we do not knowingly collect personal information from individuals under the age of 18. If we learn we have collected personal information from an individual under 18, we will delete that information. If you believe we might have any information from or about an individual under 18, please contact us at legal@ceramic.ai.
15. Third-Party Links
The Services may contain links to third-party websites and services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party sites you visit.
16. Changes to Our Privacy Policy
We reserve the right to amend this Privacy Policy at our discretion and at any time. When we make changes to this Privacy Policy, we will post the updated Privacy Policy on the Website and update the Privacy Policy’s effective date. Your continued use of the Services following the posting of changes constitutes your acceptance of such changes.
